10.3.7. Importing and Exporting Contacts

10.3.7.1. Import

This feature allows contacts to be imported into the OfficeClip Contact Manager from a CSV file.

  1. Click Contacts on the main toolbar, and then click Contacts from the left toolbar. To import contacts, click Import/Export on the button bar.

  2. Click the Import contacts in comma separated (CSV) file link to import a CSV file or in the next screen, click Browse to find the file to upload, then click Import or click Cancel to take no action.

  3. Select the fields in the imported CSV file that will be mapped to the OfficeClip fields. This ensures that fields in the CSV file are correctly matched to the OfficeClip fields.

  4. Click Ok. The contact import results will be displayed on the next screen.

  5. Click the Imports contacts via ocXML file link to import contacts from an XML file.

  6. On the next screen, click Browse to choose the file you wish to import, then click Import or click Cancel to take no action.

[Note] Note

While importing contact using csv file, you can also specify what actions to take if the file being imported has a contact that is already present in OfficeClip. The valid actions are Skip, Merge and Delete.

10.3.7.2. Export

The Export feature allows contacts (or filtered contacts) to be exported into the comma-separated values (CSV) format or all contacts can be exported in XML format.

  1. Click Contacts on the main toolbar, and then click Contacts from the left toolbar. To import contacts, click Import/Export on the button bar.

  2. To export contacts in CSV format, click the link and on the next screen, select which fields from the OfficeClip database you want to have in the CSV file. You can move them up and down with the icons. These fields will appear as the first row in the CSV file after being exported.

  3. Click Export when finished mapping or click Cancel to exit without taking any action. Click Open or Save from the pop up dialogue box.

  4. To export contacts from a particular filter to a CSV file click the link and, from the next screen, select the filter from the drop down list and click Export. Press Open or Save.

  5. Click the Export all contacts in ocXML format link and then click Open or Save in the pop up dialogue box depending on what you need to do.
