2.3.4. Manage Organization Information

The administrator can manage information about the organization such as creating a new organization, renaming organizations, changing the time zone, and adding divisions to organizations.

2.3.4.1. Create New Organization

The user who creates an organization is automatically given administrator privileges and will have them until there is at least one other user to assign as an administrator.

  1. To make a new organization, click Setup on the toolbar and click Mange Organization Information under the section titled Organization Management.

  2. Click Create New Organization. Type in a name for your organization in the field Organization Name and select the appropriate time zone from the drop down menu.

  3. Click Save when finished.

2.3.4.2. Remove Organization

Removing an organization removes all the information and data that is part of that organization. This includes all contacts, all timesheets, all projects, and any other user created data. For this reason, OfficeClip has added the step of typing in the word YES to remove the organization, as well as clicking a button, to ensure the administrator is fully aware of what will be lost. The screen also displays a complete list of all the current information within the selected organization.

  1. To remove an entire organization and all its information from OfficeClip, click Setup in the toolbar.

  2. Click Manage Organization Information under the section titled Organization Management and then click Remove Organization.

  3. Type YES in the text box to show you are ready to remove the organization and aware of all the information that will be deleted.

  4. Press Remove to permanently erase the organization.

[Warning] Warning

If you remove an organization, all information associated with the organization will be deleted.

2.3.4.3. Rename Organization

This feature allows the administrator to change the name of the organization.

  1. To change the organization name, click Setup on the toolbar, then click Manage Organization Information under the section titled Organization Management.

  2. Click Rename Organization. The Old Name is displayed and you can type the New Name into the text box.

  3. Click Save when finished.

2.3.4.4. Change Organization Timezone

This particular function is used to change the time zone of the organization and could be useful in the case of a company relocating or opening a new location.

  1. To change the time zone, click Setup in the toolbar then click Manage Organization Information under the section Organization Management.

  2. Click Change Organization Timezone. The current time zone is displayed and you can change it by selecting the desired time zone from the New time zone drop-down menu.

  3. Click Save when finished.

2.3.4.5. Manage Organization Division

An organization can have multiple divisions that function like an organization but are still hierarchical within the organization. These divisions are independent of one another and even the organization, and they act as a security feature as well. A user in a division will be able to see information in that division and the organization that the division belongs to, but he will not be able to access information in other divisions within the same organization. The divisions will display in the Organization drop-down menu underneath the organization and indented slightly.

  1. To maintain or add a division to an organization, select the Organization from the drop down menu, then click Setup on the toolbar

  2. Click Manage Organization Information under the section Organization Management and then click Manage Organization Division.

  3. Update Existing Divisions by selecting them, then changing the name in the Division Name field and clicking Update when finished.

  4. Create a new division by typing in the desired name and clicking Save when finished.

Divisions cannot be added to other divisions
