The Polls module is a very convenient feature that allows easy resolution of issues within the organization. Decision making through consensus is conveniently achieved by using this feature effectively. The user can add, delete, close, and archive polls as well as attaching documents to a poll. The user can create customized polls by allowing the members to choose single or multiple answers and he/she can further customize by having an open or anonymous poll. The status of the polls is displayed; all open polls are available for voting and all closed polls are available for viewing results. Polls can be closed manually by the administrator/creator, or automatically by setting expiration details date and time. Closed polls can be archived or stored for future reference.

23.1. Using Polls

23.1.1. Access Polls

  1. Log in to OfficeClip.

  2. Click Polls in the left menu of the Home.

    The screen opens with the Poll List displaying the open and closed polls.

23.1.2. Adding a Poll

  1. Click New Poll in the Polls button bar.

  2. Enter the issue in the Poll Question area. The issue should not exceed 2000 characters.

  3. Enter the answer choices in the Poll Choices. You can enter up to 20 choices, with at least 1 being required.

  4. Select the Poll Type, which allows the users to select either a single choice or multiple choices.

  5. Select the Expiration option. You can choose to close it manually, or automatically by selecting an appropriate date and time.

  6. Select the Anonymity option. You can opt to show voter name and their choice, or not.

  7. Select the Security option. You can either display results at all times or only after the poll expires.

  8. Select the Notify Poll Creation to all members check box.

  9. To attach a local file or OfficeClip document to the poll, click Edit Attachments.

  10. In the Attach Documents screen, click the Browse button to locate the file.

  11. Click Upload to attach the document to the poll and click Finished to exit the Attach Document screen.

  12. Click Save to view the polls in the Poll List or Cancel to exit.

23.1.3. Vote in a Poll

  1. Choose a poll question from the Poll List and click the icon displayed in the Functions column.

    The vote screen opens, displaying the answer choices.

  2. Click the attachments to view the documents supporting the poll.

  3. Click a choice, if it is a single choice poll or click multiple choices, if it is a multiple choice poll.

  4. Click Vote to cast your vote or Cancel to exit.

  5. Click Results in the vote screen to view the results of the poll. You can even view the results by clicking on the icon in the Functions column.

  1. Select the check box (es) next to the polls you want to archive and click the Archive button at the bottom of the list.

    The polls are moved to the archived list.

  2. Click Archived Polls on the button bar to view the archived polls.

To delete a poll, click the icon in the Functions column of that particular poll.
