How does Accruals work with Paid Time Off - Part I

by Admin 28. June 2018 16:16
Many organization offers Paid Time Off leave that accrues over time. Usually, an employee is offered time-off in small increments that are added over time. For example, 1.25 days of vacation may be offered every month of service which accrues until the end of the year. It works like a bank account from where employees can withdraw within the year. At the end of the year, the accrued vacation may be paid-off as wage equivalent by the company or can be rolled over to the next year.

Many countries have created rules for the minimum amount of paid vacations and holidays offered to the employees. The United States is among a few countries that do not currently have a minimum paid vacation days enforced by the government (see minimum annual leave by country).

In most companies, Paid Time Off also depends on the year of service. In the US, according to a survey in 2004, the average paid days off was from 14 to 27+ days depending on the years of service (see Wikipedia)

In OfficeClip, the time-off module can calculate accruals based on various parameters like the length of service, type of time off, roll over and reset.

OfficeClip Time-Off application is available as a hosted (cloud) or a self-installed solution (that can be installed in your private cloud like Amazon AWS). To try out visit the OfficeClip Timesheet product page.

Enhancements:

  1. Free OfficeClip for unlimited users and unlimited time

  3. Expense Templates using Liquid API
  4. DCAA password verification

Free OfficeClip

Starting this release we made OfficeClip standard edition free for unlimited users for unlimited time. A list of features and version comparison is available at this web page.

SMS using Twilio

All notifications and messages can now be sent directly to mobile devices via SMS. OfficeClip supports two types of SMS:

  1. Email SMS: Use this option when you want to send SMS free of cost using the SMS email address. Most SMS providers provide an email address that can be used to send SMS to a mobile phone. A list some if the SMS providers are given here.
  2. Twilio SMS: Twilio is an SMS provider that allows SMS to be sent through their network inexpensively. To use this option you will have to create an account in twilio.com and use the account id and password in OfficeClip.

SMS in the Professional and Enterprise Edition of OfficeClip.

Expense Templates using Liquid API

In this release, we have added liquid templates to the expenses. This will allow administrators to customize the printed expense report for the organization.

The template is designed using the powerful liquid template language.

This feature is only available in the Enterprise Edition of OfficeClip.

DCAA password verification

Many of our customers who are doing government projects, requested that we provide a mechanism to sign the timesheet electronically before being submitted. In this release, we have provided a way to enable this feature in the Profiles menu of Timesheet administration.

This feature is only available in the Enterprise Edition of OfficeClip.

Consider the following:

You want to send newsletters to all non-customers in the state of Georgia and Florida whose birthday is in this month.

In OfficeClip, you can create such a filter intuitively. The completed filter will look like:
We worked hard to provide you a filter that is simple to understand and yet powerful to represent most of the conditions.

See a video on how to use the new filter:

Microsoft Internet Explorer is now bundled with Windows 8.1. It can also be downloaded from the Microsoft website. Microsoft has changed how this new browser is recognized by the program. This had broken some of our checks that we usually do at the beginning to see if the browser is compliant.

We have now release a new version of OfficeClip 10.1.38. If you are using the online version of OfficeClip, it is automatically upgraded for you. If you have installed it on your server, please upgrade to his version of OfficeClip. It is available at http://www.officeclip.com/web/download.html

How to short circuit the officeclip login page

by Admin 30. July 2012 14:44

Some of our users have asked us to create a way so that they can put the officeclip login page on their website. Due to security reasons, so far we have restricted people to login from the OfficeClip website.

We have now added a small program (starting version 9.3.10) that will do the following:

1. Allow administrators to add login html code snippet to their website and submit directly to OfficeClip

2. Automatically send the login and password information using http form post to enter into OfficeClip

Please note that use of https or an interanet implementation of OfficeClip is suggested while using these modes:

Use the following html input fields:

  • shortLogin: contains the login email address
  • shortPassword: contains the user password
  • Http post these information to http://<your-officeclip-application>/ShortCircuit.aspx (if you are using hosted version, it will be https://officeclip.com/ShortCircuit.aspx
If everything goes alright, it will log you in to OfficeClip, if not you will get a message saying Login Incorrect.

by Admin 2. February 2011 13:06

OfficeClip Contact Manager can now be used with Predictive Dialers. Steve Pavent CEO of Bluepayment.com has integrated such a dialer with his OfficeClip Contact Manager Suite.

"The beauty of this system is that you do not need to have any expensive equipments to set it up. All it needs is a broadband connection and a usb headset", says Steve Pavent. Integrating with the predictive dialer is saving at least 50% compared to the conventional dialer he was using with OfficeClip before. The workflow of this dialer is shown below:

Share OfficeClip with your Customers without creating an account

by Admin 15. February 2010 15:18

You may want to share a document with your partner or a timesheet report with your customer but without giving them the OfficeClip login.

OfficeClip Extranet can be used in two modes:

Public Sharing

Public Sharing allows you to share information by giving your customers a link. They can then click on the link and get the information. This is useful when you want to share many documents or show a calendar on your website. If, for example, you want to share a document with a partner, you can select the document and the extranet application will then give you a link to be sent to your customer, which when clicked will show the document to your partner.

DCAA requirements are about implementing procedures for timekeeping (and accounting) in the organization to ensure prevention of fraudulent billing to the government. Note that this means that the submitted timesheets become legal documents of the company.

by Admin 21. September 2009 14:09

Many of you have requested a feature which would allow time spent on fixing issues, tasks or speaking with the contacts can be imported into OfficeClip Timesheet so that these time could be billed to the clients. Because OfficeClip customers have varying needs, this created some implementation challenges:

  1. What if the user does not use the OfficeClip Timesheet? In this case we are providing additional configurable reports.
  2. You want to export only some work items to the OfficeClip Timesheet. We have created a wizard interface that will allow users to pick and choose what is imported.
  3. Also, OfficeClip Timesheet should be flexible enough so that free form editing is available after the information in imported to the timesheet.

LinkedIn for Your Small Business

by Admin 14. July 2009 10:07

This will be the first part in a series on how to use LinkedIn for your business. We have been using LinkedIn here at OfficeClip to build brand awareness and create an online presence, as well as establish each of us individually as experts in the areas we work (such as marketing, software, development, etc.). There are several ways in which businesses can achieve these (and I must stress that it takes time and effort) and I am going to talk about a few briefly here as an introduction. Follow-up articles will discuss some of these techniques in more detail.
