New OfficeClip Release 10.5.2

This release brings to you more enhancements and bug fixes.

Timesheet Preview Template

The timesheet preview screen shows the entire timesheet on one screen. It is used by some of our customers to keep a paper trail of all the OfficeClip Timesheets.

Many organization likes to format the timesheet the way they were already used to. We have provided a template language so that customers can format the timesheet to their own likes and print them. See a short video below.



Timesheet Custom Fields

You can now add custom fields to the Timesheet. The custom fields can be of type text or list with fixed values. They will appear on each row in the new or edit timesheet screen. The custom fields will appear in the reports and in exports. Currently there is a limit of three custom fields in the timesheet.

To set custom fields go to Timesheet > Admin > Custom Fields



Bug Fixes

We made a lot of fixes in this release too. Here is a list:

  1.  Calendar: Calendar > List > Agenda - Unable to view the screen of Agenda   NK1822 (10.x)
  2. Calendar: Desktop > Calendar > Import/Export > Google Sync > Tab changes to shared calendar   NK1783 (10.x)
  3. Calendar: Calendar > Import/Export > Export calendar events - Open csv, then try to export. The Tab changes to Shared Calendar   NK1824 (10.x)
  4. Contacts: After creating a user, it is not creating the password automatically   DK1813 (10.x)
  5. Expenses: Expense Detail Missing in Reports   MI1246 (Support tickets)
  6. Extranet: Extranet Admin > Insert image is not working   BK1842 (10.x)
  7. Invoices: Invoices > Filter - While searching for invoices with Due balance it is showing the quotes and estimates also   DK1820 (10.x)
  8. Issue Tracker: Binder name was not showing in the email triggered by rule   RS1250 (10.x)
  9. Notes: Desktop > Notebook > Note > Private note is accessible to other users through history   SY1789 (10.x)
  10. Notes: Some information is showing up via history that is not supposed to be shown   SD1793 (10.x)
  11. Rest-Api: Rest API > Non Admin Tasks - Don't have permission 'Read' at Access Default in Org Settings - Sill able to see all the tasks   NK1806 (10.x)
  12. Time Off: Unable to see Time Off approve screen in some situations   SD1846 (10.x)
  13. Time Off: HRM > TImeOff > unknown timeoffs added to all Employees   SY1819 (10.x)

How to design of new filters in OfficeClip

Finding the right contacts from a list of, say 10,000 contacts, is time consuming. Filters are sometimes difficult for understand and use.  

Consider the following:

You want to send newsletters to all non-customers in the state of Georgia and Florida whose birthday is in this month.

In OfficeClip, you can create such a filter intuitively. The completed filter will look like:
We worked hard to provide you a filter that is simple to understand and yet powerful to represent most of the conditions.

OfficeClip Release 10.2.16

We are pleased to let you know that a new version of OfficeClip (10.2.16) has been released. This release fixes many bugs, some which are:
  • In some cases entering alphanumeric characters in the custom numeric field triggers an error (IK0435)
  • Cannot use track time in chrome browser (SD0429)
  • There is no way to recover the archived timeoff request (KP0667)
  • Basic edition users are unable to set mileage (MO0513)
  • In some cases emails through OfficeClip is not getting sent (JC0648)
  • Manual Sync of QuickBooks is not filtering service items correctly (SD0428)
  • In some cases export csv for accounts is giving error (RK0622)

Internet Explorer 11 issue with OfficeClip now fixed

Microsoft Internet Explorer is now bundled with Windows 8.1. It can also be downloaded from the Microsoft website. Microsoft has changed how this new browser is recognized by the program. This had broken some of our checks that we usually do at the beginning to see if the browser is compliant.

We have now release a new version of OfficeClip 10.1.38. If you are using the online version of OfficeClip, it is automatically upgraded for you. If you have installed it on your server, please upgrade to his version of OfficeClip. It is available at http://www.officeclip.com/web/download.html

Welcome to BlogEngine.NET 3.1 using Microsoft SQL Server

If you see this post it means that BlogEngine.NET is running and the hard part of creating your own blog is done. There is only a few things left to do.

Write Permissions

To be able to log in, write posts and customize blog, you need to enable write permissions on the App_Data and Custom folders. If your blog is hosted at a hosting provider, you can either log into your account’s admin page or call the support.

If you wish to use a database to store your blog data, we still encourage you to enable this write access for an images you may wish to store for your blog posts.  If you are interested in using Microsoft SQL Server, MySQL, SQL CE, or other databases, please see the BlogEngine docs to get started.

Security

When you`ve got write permissions set, you need to change the username and password. Find the sign-in link located either at the bottom or top of the page depending on your current theme and click it. Now enter "admin" in both the username and password fields and click the button. You will now see an admin menu appear. It has a link to the "Users" admin page. From there you can change password, create new users and set roles and permissions. Passwords are hashed by default so you better configure email in settings for password recovery to work or learn how to do it manually.

Configuration and Profile

Now that you have your blog secured, take a look through the settings and give your new blog a title.  BlogEngine.NET is set up to take full advantage of many semantic formats and technologies such as FOAF, SIOC and APML. It means that the content stored in your BlogEngine.NET installation will be fully portable and auto-discoverable.  Be sure to fill in your author profile to take better advantage of this.

Themes, Widgets & Extensions

One last thing to consider is customizing the look and behavior of your blog. We have themes, widgets and extensions available right out of the box. You can install more right from admin panel under Custom/Gallery.

How to short circuit the officeclip login page

Some of our users have asked us to create a way so that they can put the officeclip login page on their website. Due to security reasons, so far we have restricted people to login from the OfficeClip website.

We have now added a small program (starting version 9.3.10) that will do the following:

1. Allow administrators to add login html code snippet to their website and submit directly to OfficeClip

2. Automatically send the login and password information using http form post to enter into OfficeClip

Please note that use of https or an interanet implementation of OfficeClip is suggested while using these modes:

Use the following html input fields:

  • shortLogin: contains the login email address
  • shortPassword: contains the user password
  • Http post these information to http://<your-officeclip-application>/ShortCircuit.aspx (if you are using hosted version, it will be https://officeclip.com/ShortCircuit.aspx
If everything goes alright, it will log you in to OfficeClip, if not you will get a message saying Login Incorrect.

 

 

Using Predictive Dialer with Web Contact Manager

OfficeClip Contact Manager can now be used with Predictive Dialers. Steve Pavent CEO of Bluepayment.com has integrated such a dialer with his OfficeClip Contact Manager Suite. 

"The beauty of this system is that you do not need to have any expensive equipments to set it up. All it needs is a broadband connection and a usb headset", says Steve Pavent. Integrating with the predictive dialer is saving at least 50% compared to the conventional dialer he was using with OfficeClip before. The workflow of this dialer is shown below:

Issue Tracker: How to Capture Customer Cases via Email

Web Issue Tracker allows you to publish an email address so that your customers and prospects can report issues to the tracker via email. The following features are available:

  • Email Attachments are converted to documents in the issue tracker and linked with the issue.
  • The subject line of the email is imported to the Title of the issue of the body of the email is imported to the description of the issue.
  • Defaults can be set for the issues created from the email.
  • The scan rate of the POP account can be controlled.

Share OfficeClip with your Customers without creating an account

You may want to share a document with your partner or a timesheet report with your customer but without giving them the OfficeClip login. 
 
OfficeClip Extranet can be used in two modes:

Public Sharing
 
Public Sharing allows you to share information by giving your customers a link. They can then click on the link and get the information. This is useful when you want to share many documents or show a calendar on your website. If, for example, you want to share a document with a partner, you can select the document and the extranet application will then give you a link to be sent to your customer, which when clicked will show the document to your partner.

DCAA compliance requirements for Timesheet

All Employees (and consultants) of Government Contractors must comply with the DCAA (Defense Contract Audit Agency) regulations and Federal Accounting Regulations (FAR). Failure to comply with such rules may result in penalties and/or lose government contracts.

DCAA requirements is about implementing procedures for time keeping (and accounting) in the organization to ensure prevention of fraudulent billing to the government. Note that this means that the submitted timesheets become legal documents of the company and need to be treated as such.

Web Timesheet can now track time for all applications

Many of you have requested a feature which would allow time spent on fixing issues, tasks or speaking with the contacts can be imported into OfficeClip Timesheet so that these time could be billed to the clients. Because OfficeClip customers have varying needs, this created some implementation challenges:

  1. What if the user does not use the OfficeClip Timesheet? In this case we are providing additional configurable reports.
  2. You want to export only some work items to the OfficeClip Timesheet. We have created a wizard interface that will allow users to pick and choose what is imported.
  3. Also, OfficeClip Timesheet should be flexible enough so that free form editing is available after the information in imported to the timesheet.

OfficeClip Enhances the Group Calendar Application

OfficeClip Web Calendar offers various ways to create events to connect with your coworkers, customers and partners:

  1. You can create Group Events that is seen to everyone in your organization.
  2. Meetings can be created with your co-workers, customers and contacts. These are visible to the meeting facilitators, attendees and proxy.
  3. Personal events are private events that are visible only to the creator.
  4. Events can also be created from other applications, for example from the contact details screen of the Web Contact Manager, you can quickly create an appointment with the contact.

Creating Relationships in OfficeClip Contact Manager

Relationships exist in various forms in the real world and any software, including OfficeClip Contact Manager, could not possibly think of and fulfill all the possible relationships while implementing the system. To fill this gap the Web Contact Manager provides the ability to create arbitary relationships between various entities in OfficeClip. For example:

  • For Real Estate transactions, a Broker can be a relationship between two Contacts
  • An Account can be a Partner of another Account

Relationships are shown as the "children" of the object (for example Contacts, Accounts etc.) to which it is attached. A relationship is always created between two objects and OfficeClip shows this relationship as a "child" of both these objects.

To create a new relationship, go to the object that you want to create the relationship with and click on the Relationship link (on the object detail screen). For other tips on using the OfficeClip software and the Contact Manager in your business, check out our forum.
