OfficeClip Installation Manual

You are reading this manual because you have either downloaded OfficeClip or are upgrading it. Scroll down to the end of this document if you need installation assistance.

OfficeClip is a web-based software suite for Contact Management, Time Tracking for your projects and Help desk. It is available in Standard and Enterprise Editions.

This document covers installation of two types of downloads:

  1. Windows Installer (msi) version - With this installation you can install OfficeClip by clicking on the setup program. The installer installs an express version of the sql server so that it can be operational after the installation.

  2. Manual Installation using file copy - In this installation you can unzip the files and copy them into your web application folder. You must have a sql server setup on your environment with adequate permission before using this installation method.

Read this file before attempting to install OfficeClip on your server.

1. System Requirements

  • Computer: Intel i3 or AMD A6 or higher with 2 GB RAM and at least 10 GB free disk space.

  • Operating Systems:

    • Desktop OS: Windows 7, Windows 8, Windows 10 (or higher)

    • Server OS: Windows 2008-R2, Windows 2012 (or higher)

  • Runtime: Released version of Microsoft.Net 4.5 runtime (available from the Microsoft Web site). Note that the setup program automatically installs the appropriate version of the .Net runtime.

  • Database: Sql Server 2008 or higher (any version). Note: that the setup program automatically installs the Sql Server 2008-R2 Express Edition (OfficeClip10 instance).

  • Authorization: Administrator access to the machine on which OfficeClip is to be installed.

  • Client: Internet Explorer 10(or higher), IE Edge Browser, Firefox 2.0 (or higher), Chrome (latest), or Safari (latest).

2. Verifying Download

You can verify the downloaded files in two ways:

2.1. Checksum Verification

Click on the Verify Checksum on the OfficeClip download screen. It will provide a SHA1 checksum that you can compare with your downloaded file.

2.2. Digital Signature Verification

Before installing OfficeClip you are advised to verify the authenticity of the files. This is because sometimes files can be corrupted during download, at other times you may have downloaded a malicious file with the same name from a phishing site. OfficeClip signs the following files with digital certificate:

  1. OfficeClip.msi

  2. setup.exe

  3. setupNoSql.exe

Warning

For your safety you should validate the digital certificate before installing OfficeClip on your computer.

  1. Unzip the downloaded file in a folder. Right click on each of the above file and select Properties.

  2. Click on the Digital Signature Tab and then click on the Details button. If you do not see the Digital Signature Tab then the file may not be genuine. Please see below to download OfficeClip from the correct location.

  3. Under the General Tab make sure that the Digital Signature is shown valid and also verify the Name of the Signer.

3. Configuring the Internet Information Services (IIS) Manager

OfficeClip uses the Internet Information Services (IIS) Manager to work. In most systems this is not configured by default. If your IIS is already setup and configured, skip this section and go directly to Detailed Step-by-Step installation section. Follow these instructions to set up IIS manually:

3.1. Windows Server 2008-R2 (IIS 7.5)

  1. Open the Control Panel and in the top right of the window change the View by: to Small icons or Large icons

3.2. Windows Server 2012 (IIS 8)

  1. Bring up the Control Panel on your screen. To do this click on Windows key and the I key together and it will be shown on your right side of the screen.

  2. On the Control Panel, select large or small icon from the top left and then click on Programs and Features.

  3. On Programs and Features screen click on Turn Windows features on or off at the left.

  4. This will bring up the Server Manager window. Select Role Based or Feature Based installation radio button and click on Next >

  6. Select Web Server (IIS) and click on Next >

  7. Now click on both .NET Framework 3.5 Features and .NET Framework 4.5 Features and click on Next >.

3.3. Windows 7 or Windows 8 (IIS 7.5 or higher)

  1. Open the Control Panel and in the top right of the window change the View by: to Small icons or Large icons

  2. On the Control Panel double click on Programs and Features

  4. Next select the check boxes as shown in the diagram to enable IIS features and click on the OK button.

  5. Bring up the Control Panel again and select Administrative Tools. Then double click on Internet Information Services (IIS) Manager.

  6. Point to the website where OfficeClip is installed (if OfficeClip is not installed yet, you may have to do this step after the OfficeClip installation) and double click on the Authentication under IIS

  7. Enable Anonymous Authentication and Forms Authentication.

3.4. Windows 10 (IIS 8)

  1. Open the Control Panel and in the top right of the window change the View by: to Small icons or Large icons

  2. On the Control Panel double click on Programs and Features.

  3. Click on Turn Windows feature on or off

4. First Time Quick Installation

To install OfficeClip on your machine, double-click on setup.exe file and follow on screen instructions. This method of installation is advisable only when you are installing OfficeClip on a new machine and you want to use the default Sql Server database bundled with the software.

Note

Installation program automatically checks and installs .Net framework 4.5, Sql Server Express 2008-R2(OfficeClip instance) and other necessary components.

5. Detailed Step-by-Step Installation

To begin, unzip the downloaded zip file in a new folder. To unzip you can right click on the zip file and then click on Extract All.

Note

If you are using any other software like 7-Zip or WinRar, you should extract the files before starting the installation process.

Step by step instructions

Upon, extraction, you will see a few files in the folder, as shown in the diagram below:

Double-click on:

  • setup.exe - if you want to install OfficeClip on a new machine.

  • setupNoSql.exe - If you want to run OfficeClip with your own sql server that you installed before.

5.1. Installation

  1. After you double-click on the setup.exe, the installation program will start installing all the prerequisites. When everything is installed, you will see the initial setup screen:

  2. Click on the Next button to get to the License Agreement screen.

  3. Read the license agreement and click on I Agree and then click on the Next button.

  4. Select the folder where OfficeClip should be installed and click on the Next button.

  5. Select the parameters of the Internet Information Services to create a new website for OfficeClip. If you are not sure what to select here, leave all the default values on this screen as is and click on the Next button. Following are the choices:

    • Website: You can select Default Web Site (this is useful if your OfficeClip application is in a virtual directory). You can also create a new website for OfficeClip from here. Application Name: The name of the OfficeClip application. Leave it empty if the OfficeClip website is at the root

    • Web Site Name: The name of the website, this is useful when you are creating a new web site.

    • Physical Path: The path of the OfficeClip files, this is preselected from the last screen.

    • Host Name: This will go in as Host Header. It is useful if OfficeClip needs to be accessed using various domains.

    • IP Address: If the machine where OfficeClip is installed has multiple IP addresses, it will allow selection of the address which can be used to access OfficeClip.

    • Port: Allows different port for OfficeClip access. In most cases it can be kept to 80 (http port)

  6. Double check all the values and click on the Next button.

  7. OfficeClip installer will now start copying files and setup the Internet Information Services (IIS).

  8. When the installation is successful you can close the window by clicking on the Close button. Clicking on the Close button should bring up the OfficeClip website. If this screen does not show up, double click on the OfficeClip icon on your desktop or go to the Windows Start menu and click on OfficeClip > Launch OfficeClip (see diagram below) You should now be taken to the OfficeClip configuration screen.

5.2. Configuration

Upon launching, OfficeClip configuration program will start to setup database and SMTP email (for messages that is sent out by OfficeClip).

  1. If you are installing for the first time, you can select the default option which will install OfficeClip on the OfficeClip provided SQL Server Express database. If your organization already has a SQL Server database and may want to install OfficeClip on that database, select the second option and supply all the parameters. See the section on Using your own SQL Server below. Click on the Next button when you are done.

  2. The next screen will help you setup the SMTP server. OfficeClip uses SMTP to send emails out of OfficeClip. The SMTP parameters can be obtained from your ISP or local administrator. You can also use your Gmail account. If you are not sure what to type here, get the information from your support team or click the check box for Disable SMTP for now. Click Next to get to the confirmation screen.

  3. On the confirmation screen click on Finish to start the configuration wizard.

5.3. Account Creation

The last step of this process is to create a new account for OfficeClip. This account will be the Site Administrator account having more privileges than any other accounts in OfficeClip.

5.4. Upgrading OfficeClip

OfficeClip can be upgraded in the same way you have installed it. To upgrade please click on the file SetupNoSql.exe and follow the on-screen instructions.

6. Using your own SQL Server

If you do not want to install the OfficeClip provided database (and want to use your own Sql Server) follow the instructions below:

  1. To install OfficeClip run setupNoSql.exe (instead of setup.exe) by double clicking on it.

  2. During installation when asked for the Sql Server user id and password, use the sa as the login id and the sa password as the password. Type a database name that does not yet exist in the Sql Server.

Note

You will need to enable the Mixed Mode authentication in the Sql server and get the sa password from your administrator. Please note that SQL Server 2008 and 2012 are currently supported.

If the sa password is not available (or cannot be provided), ask your administrator to create a database login for you and also create an empty database for OfficeClip. Your login must have full privileges on this database.

7. Manual Installation

Manual installation of OfficeClip is useful in situations where you do not have privileges to install OfficeClip by running the setup.exe program (for example at a hosting provider). It will allow you to copy (or ftp) all the files to the target machine, setup the application in the IIS and start OfficeClip. At this point OfficeClip will walk you through creation of all configuration files and database.

Manual installation requires a separate download. Go to the OfficeClip Download Site and download the Manual Installation zip file.

7.1. Fresh Install

  1. Configure your Internet Information Server (IIS) based on the instructions given in this file above. Make sure that .net 4.5 is installed and run the command aspnet_regiis -i in command prompt.

  2. Make sure that isapi extensions is installed in IIS.

  3. Go to ISAPI & CGI Restrictions in IIS and make sure that 4.0 is allowed there. For this go to the top level in the IIS (computer name) and then click on ISAPI and CGI Restrictions and then enable the Asp.Net 4.0 Restrictions.

  4. Go to the downloaded file manual.zip and extract it and rename the web.config.ocbuild to web.config, db.config.ocbuild to db.config and dynamic.config.ocbuild to dynamic.config also make sure that the files extenions is not hidden when renaming a file.

  5. If necessary give full access permission to db.config and dynamic.config files in new installation(Usually full permission for 'Network Service' is okay)

  6. Create an application in IIS and run the default.aspx in a browser.

  7. It may be easier to create a shortcut on your desktop pointing to the default.aspx (for example http://yoursite/officeclip/default.aspx)

7.2. Upgrading OfficeClip

1. Unzip the manual.zip to the same folder as existing OfficeClip installation.

2. Run http://yoursite/officeclip/default.aspx (this url may differ and depend on where OfficeClip is installed)

7.3. Upgrading from a previous version (9.x or below)

If you are upgrading from a previous version of OfficeClip, Please Contact OfficeClip before the upgrade.

8. Amazon EC2 Installation

OfficeClip is also available on the Amazon EC2 marketplace. To install please go to the OfficeClip Download Site and click on the Amazon EC2 link and follow instructions

9. Installation Troubleshooting

We tried our best to keep the installation simple and intuitive. For general installation troubleshooting please visit the Installation and Setup Forum:

The following shows some common installation errors:

9.1. Error #1: IIS 6.0 Metabase Compatibility feature must be installed

This error can occur during the installation process if the setup program does not detect the IIS 6.0 Metabase Compatibility features. Please see the section on Configuring the Internet Information Services (IIS) Manager above.

9.2. Error #2: Internet Information Services not present

This error can occur during the installation process if the setup program does not detect the Internet Information Services (IIS). Please see the section on Configuring the Internet Information Services (IIS) Manager above.

9.3. Error #3: After installation OfficeClip is not starting or showing 404 error

There may be a number of reasons for this. Please see the following article in the OfficeClip forum:

9.6. Error #6: IIS: The process cannot access the file because it is being used by another process

IIS can show this error if another process is using Port 80.

9.7. Error #7: During installation the bootstrapper could not install required components

  1. Switch off all the virus protection and disable the firewall temporarily during installation

  2. From the Microsoft website install the 32-bit (or 64-bit) version of the .Net framework version 4.0.

  3. From the Microsoft website install the 32-bit (or 64-bit) version of the SQL Server Express. During installation choose the Instance as OFFICECLIP9 and select mixed mode authentication.

  4. Follow the instructions on the section Installation on your own Sql Server Instance.

9.8. Error #8: HTTP Error 500.21 - Internal Server error

Handler "PageHandlerFactory-ISAPI-4.0_32bit" has a bad module "IsapiModule" in its module list

This happens when the ISAPI extension is not installed in the IIS 7.x. Please install those components and try again.

9.9. Error #9: Images do not show up after installation

The most common reason for this is that Internet Information Services (IIS) is not set to serve static content.

10. Installation Support

OfficeClip will provide free installation support. If you tried to install OfficeClip and had problems with it, please follow the instructions below:

  1. Look at our forum on Installation and Setup to find a solution to your problem.

  2. If you cannot find a solution, go to the installation folder (default is c:\program files\officeclip\9 folder) and then go to the log folder.

  3. Zip the files in the log sub folder and send them to OfficeClip support at ocsupport@officeclip.com. Please include instructions on how we can replicate the problem.

  4. If the problem is not still resolved, OfficeClip is pleased to offer free one-on-one support to help you install the software. Contact us at ocsupport@officeclip.com

11. Uninstalling OfficeClip

To uninstall OfficeClip from your computer, go to Start -> Control Panel -> Add/Remove Programs and then select the OfficeClip application. Click the Remove button. However, there will still be other residual software on your computer. Follow the instructions given below to remove all the components:

  • Microsoft .Net 4.5 Runtime: Go to Start -> Control Panel -> Add/Remove Programs and remove the Microsoft .Net 4.5 Runtime. Note: .Net 4.5 is preinstalled in some newer windows machine so it may not be possible to uninstall. Also, this software may be used by other programs in your system so removing this may cause other programs in your system to fail.

  • Sql Server 2008-R2 Express: This can be removed from the Control Panel as explained in the previous step. Note that you must uninstall only the OFFICECLIP9 instance of the Sql Server. Other instances may be present in your machine that is being used by other applications.

  • Installation folder for OfficeClip: The installation folder for OfficeClip can be manually removed. Usually this is at C:\Program Files\OfficeClip\. Note however that the Sql database may be created in a data folder inside this directory. By removing it you may lose all your data.
