How to Calculate Date Differences Manually

Calculating the duration across multiple dates can be complex. If you need to do it without a calculator, follow this approach:

  1. Count full 24-hour days: Count the number of full, complete days between your start date and end date. (e.g., Tuesday 9 AM to Thursday 9 AM is exactly 2 days).
  2. Calculate remaining hours: Look at the leftover hours on your final day. Subtract the start time from the end time.
  3. Calculate remaining minutes: Tally up any leftover minutes.
  4. Convert to decimals: To find total decimal hours, multiply your full days by 24, add your remaining hours, and divide the remaining minutes by 60.

Does this calculator exclude weekends?

No, this calculator measures the total elapsed time (chronological time) between two dates. It includes all weekends, holidays, and non-working hours. If you need to track only billable or working hours, specialized time tracking software is required.

What does "Total Decimal Days" mean?

Instead of saying "1 day and 12 hours", decimal days express the time as a single number. Since 12 hours is half of a 24-hour day, the decimal day format would be 1.50 days. This is highly useful for accounting and prorated billing.

Why did I get an error message?

If you see an error, ensure your "End Date & Time" is set chronologically after your "Start Date & Time". You cannot calculate a duration going backward in time.
