Using Call List in Contact Manager

One important use of the Call list is to keep in touch with your current and potential customers. The reason may be to follow up on the leads, discussions about ongoing projects, overdue payments, calling customers at regular intervals, etc. Nobody wants to miss this out. 

In OfficeClip Contact Manager, you can create a call list and get reminders at regular intervals for keeping in touch with your customers or prospects. View the daily or future call list, which gives an idea about future actions. After calling up the customers, users can add notes in the call list regarding the conversation held, which will be helpful for future reference. Users can also create tasks or follow-up appointments. 

How Call list will be useful:

How to make calls to skype from OfficeClip Contact Manager

OfficeClip Contact Manager provides integration with Skype. This enables you to call your contact via skype using one click. To enable this feature do the following:

1. From Settings > Entire Site click on Options


2. Check mark the show skype button


3. Now you should see a phone icon next to the phone field


4. Clicking on it should bring up skype call window (if skype is installed)

How to capture appointment requests from your website

If your organization provides professional services, it may be useful for your website to allow your visitors create an appointment. This tutorial walks you through the entire process of how to implement this using Group Calendar in the OfficeClip Contact Management Software.

1. In main calendar screen click on the button "Share this Calendar"

2. Click on the Show Event Details button to show the details of the events on your website calendar. Select this option if you are sharing the calendar on your intranet.

3. Select the email address that will be notified to the appointment administrator (in your organization) when a visitor books an appointment on your website

4. This creates two links, the first link is to show the full calendar to your website.

5. The second link only allows your visitor to see the "Request Appointment" form

6. You can use an iframe or just a hyperlink to show the calendar on your website. Your visitor will be able to click on the "Request New Appointment" button to request a new appointment.

7. Your visitor fills up the request appointment screen

8. An email is sent to the appointment administrator who can click on a button to finally approve the appointment

9. The appointment administrator makes final adjustments and approves the event.

The event now shows up in the OfficeClip calendar

10. An email is also sent to your visitor to confirm the event

 


This feature is a part of the free contact management software from OfficeClip.

Starting today the OfficeClip suite, consisting of the Customer Relationship Manager (CRM) and HR Management module, will be available on Amazon Web Services (AWS) in AWS Marketplace with hourly and yearly subscriptions.

OfficeClip Suite provides small businesses with the ability to manage customers, employees, and projects with one suite of applications. The software solution provided by OfficeClip under one platform includes Contact Manager, DCAA compliant Timesheet, Expense Management, and Project Tracking and Issue Tracking system. OfficeClip customers enjoy an integrated software experience and can avoid having to acquire and manage multiple products to run their business.

In addition to our SaaS and local installation solution AWS can provide our customers with the benefits of preinstalled software and having full control of their own data." says SK Dutta, President of OfficeClip LLC.

How to use customer Pre-Qualification script in OfficeClip

During customer pre-qualification stage your representative needs to use consistent scripts. In OfficeClip you can create templates that can be used multiple times to record the pre-qualification conversations.

How to set Contact Manager permission

OfficeClip Contact Manager has ability to set privileges and access permission using rules. 

To run your business effectively you may require different permissions for different users types. For example, one company may require everybody in their organization to be able to modify all contacts but not be able to delete them. While another organization may require contacts cannot be seen until it is assigned to the user. OfficeClip's rule based permission takes care of many of these scenarios.

Recently we have received a few requests to explain the details of the access permission of OfficeClip Contact Manager. I have created a video which attempts to explain some of it.

Bulk Tagging of Contacts

Tagging multiple contacts together is one of the features that has been requested for a while. We have finally gotten around implementing it in release 10.1.22. 

In OfficeClip you can use multiple levels of tags to loosely categorize entities. Filtering and reporting on the tags is possible.

Drip marketing allows pre-created messages to be sent to prospects and customers at regular intervals. OfficeCip Workflow adds the ability to create appointments, tasks, send campaigns and enter into daily call list.

Create your holiday address labels in OfficeClip

There are few ways to create address labels in OfficeClip

  1. Export the contacts from Contact Manager in the csv format and then use the Avery Label Creator program (free) to create the labels. How to Video: http://youtu.be/lEN4O8dSz7c
  2. Export the contacts as in previous step and then use Mail Merge inside Word.
  3. Download the OfficeClip Word Addin and create the label within Microsoft Word merging the document
  4. If you have a DYMO LabelWriter printer, you can now directly print labels from OfficeClip. Go to Contact Details and from the Tools menu (top right) select the Dymo LabelWriter option.

Manage your daily call list efficiently

Constant communication with your prospects is the is important for converting them to customers. Successful sales people uses a daily call list to call their prospects regularly. OfficeClip Contact Manager provides a way to create and manage your daily call list.

The Call List option in OfficeClip shows you all the calls that needs to be made for a particular day. Future follow-ups can be created or notes can be added. It can be created for calling periodically, like every week, after every fixed number of weeks or arbitrary dates.

Google Sync for OfficeClip Contacts and Calendar

Starting with the new release (9.3) you will be able to synchronize OfficeClip information with your Google account. This article explains the capabilities and provides some tips for better synchronization. To access the synchronization module go to Contacts > Import/Export > Google Sync.

Select the sync parameters (explained below) and click on Sync Now.

The following entities can be synchronized:

  1. OfficeClip Contacts: All OfficeClip contact fixed fields will be synchronized with Google Contacts (Google Contacts can be accessed from http://google.com/contacts). Notes history will show up in the Google Contact description column and it will synchronize both ways.
  2. OfficeClip Calendar: All calendar entries in OfficeClip can be synchronized with Google Calendar.
