How to Calculate Time Duration Manually
Calculating the duration between two times can sometimes be tricky when crossing AM/PM boundaries. Here is a simple step-by-step method:
- Convert times to 24-hour format: This avoids AM/PM confusion. For example, 3:15 PM becomes 15:15.
- Calculate the minutes: Subtract the start minutes from the end minutes. If the end minutes are less than the start minutes, borrow 1 hour (60 minutes) from the end hour.
- Calculate the hours: Subtract the start hour from the end hour. If the end hour is smaller (e.g., crossing midnight), add 24 to the end hour before subtracting.
- Convert to decimal (optional): Divide the remaining minutes by 60 to get the decimal portion. For example, 45 minutes / 60 = 0.75 hours.

How are decimal hours calculated?
Decimal hours are calculated by taking your remaining minutes and dividing them by 60. For example, 30 minutes divided by 60 equals 0.5. Therefore, a shift of 8 hours and 30 minutes becomes 8.5 decimal hours.
What happens if my end time is past midnight?
Our calculator automatically detects if the end time is numerically smaller than the start time. It will safely assume the time has crossed over into the next day and will adjust the duration calculation accordingly.
Why do I need decimal hours for payroll?
Payroll and accounting software systems require standard decimal numbers to mathematically multiply hours worked by hourly pay rates. You cannot mathematically multiply a pay rate by "8 hours and 15 minutes", but you can multiply it by "8.25 hours".
